1. Appointments, Bookings & Payments

A. Booking Process 

How to Book 

Appointments can be scheduled through the following methods: 

  • Online Booking System: Via our website’s integrated booking platform 
  • Email Inquiry: By contacting us at bookings@studiobyisim.com

Booking Steps 

  • Selection: Choose your desired service(s) from available options
  • Date & Time: Select your preferred appointment date and time based on availability.  
  • Personal Information: Provide required personal details including name, contact information, and any special requirements. 
  • Service Questionnaire: Complete any pre-consultation questionnaires to help us prepare for your session. 
  • Payment: Submit payment as per the payment terms outlined below. 
  • Confirmation: Receive booking confirmation via email with appointment details. 

Booking Confirmation 

  • Your appointment is NOT confirmed until you receive an official confirmation email from Studio by ISIM. 

The confirmation email will include:  

  • Appointment date, time, and duration 
  • Service(s) booked 
  • Consultant name (if applicable) 
  • Studio address and directions 
  • Payment confirmation details 
  • Preparation instructions (if required) 
  • Cancellation and rescheduling policy reminder 
  • Contact information for inquiries 
  • Retain your confirmation email as proof of booking

B. Payment Terms 

Payment Requirement 

  • Advance Payment Mandatory: Full or partial advance payment is required to confirm all appointments. 
  • The advance payment amount will be clearly specified during the booking process and may vary by service type. 
  • Standard requirement: Full payment in advance for individual consultations. 
  • Package or group sessions may require minimum 50% advance payment with the balance due before or at the session. 

Payment Methods Accepted 

We accept the following payment methods: 

  • Credit Cards (Visa, Mastercard, American Express, RuPay)
  • Debit Cards  
  • UPI (Google Pay, PhonePe, Paytm, etc.) 
  • Net Banking 
  • Digital Wallets (as available through payment gateway) 
  • Bank Transfer (for corporate bookings or special arrangements) 

Payment Processing 

  • Secure Gateway: All payments are processed through secure, PCI-DSS compliant third-party payment gateways including but not limited to Razorpay, Stripe, PayU, or CCAvenue.
  • Data Security: Studio by ISIM does not store, process, or have access to your complete credit/debit card details, CVV, or card PIN. All sensitive payment information is handled exclusively by certified payment processors. 
  • Transaction Confirmation: You will receive a payment confirmation via email upon successful transaction completion. 
  • Payment Receipts: Digital receipts/invoices will be provided for all transactions and can be accessed through your confirmation email or requested separately.

Currency 

  • All service prices are listed and charged in Indian Rupees (INR) only. 
  • International clients may see currency conversion by their payment provider, but base pricing is always in INR. 
  • Exchange rate fluctuations are the responsibility of the customer’s payment provider. 

Pricing & Price Changes 

  • Current Pricing: All prices displayed on our website are current at the time of viewing but are subject to change.
  • Right to Modify: We reserve the right to modify, increase, or decrease service prices at any time without prior notice. 
  • Price Protection: Prices applicable at the time of booking confirmation (payment receipt) will apply to your appointment regardless of subsequent price changes.
  • No Price Match: We do not offer price matching with other service providers or retroactive price adjustments.

Taxes & Additional Charges 

  • All prices are inclusive of applicable Goods and Services Tax (GST) as per Indian tax laws. 
  • GST-registered invoices will be provided upon request.

Additional charges may apply for:   

  • Special requests or customizations
  • Extended session time (subject to availability)  
  • Premium add-on services 
  • Travel or off-site consultations (if offered) 

Payment Failures 

If payment fails during the booking process:  

  • Your appointment slot is not reserved and may be booked by another client.
  • You must retry payment or contact our support team immediately. 
  • Technical payment issues should be reported within 24 hours.  

Failed Payment Policy:  

If payment fails after booking confirmation due to insufficient funds, expired cards, or bank decline:  

  • Your appointment may be automatically cancelled.
  • You will be notified and given 24 hours to complete payment. 
  • If payment is not received within the specified timeframe, the booking will be cancelled.  

Corporate & Group Bookings 

  • Corporate clients, group sessions, or bulk bookings may be eligible for customized payment terms.
  • Contact us at info@studiobyisim.com [insert] for corporate packages and payment arrangements.  
  • Corporate bookings may require purchase orders, formal agreements, or alternative payment structures.

C. Appointment Validity

  • Appointments are valid for the specific date and time confirmed in your booking confirmation email.
  • Failure to attend at the scheduled time will be considered a “no-show” (see Section 2 for policy details).
  • Session times are fixed; early arrival does not extend session duration.  

2. Cancellation, Rescheduling & Refund Policy

A. Cancellation Policy 

Client-Initiated Cancellations 

Notice Period: 

  • Clients may cancel their appointment by providing written notice via email to Info@studiobyisim.com [insert] at least 48 hours (2 full business days) before the scheduled appointment time.
  • Cancellations must be requested in writing and acknowledged by our team to be valid. 
  • Phone or verbal cancellations are not accepted unless confirmed via email. 

Refund Terms: 

  • No refunds will be provided for any cancellations, regardless of the notice period given. 
  • All payments made are non-refundable but may be eligible for credit/rescheduling as outlined below. 
  • This policy applies to all services, packages, and promotional bookings unless explicitly stated otherwise in writing. 

Credit Policy: 

If you cancel with 48+ hours notice, you may be eligible to receive:  

  • Store credit valid for 6 months from the date of original booking, OR
  • One-time rescheduling subject to availability (see Rescheduling Policy below) 

Credit cannot be:   

  • Transferred to another person 
  • Exchanged for cash 
  • Used for services not originally booked 
  • Extended beyond the 6-month validity period 

Company-Initiated Cancellations 

We reserve the right to cancel appointments in the following circumstances:

  • Consultant illness or emergency
  • Facility unavailability due to unforeseen circumstances 
  • Technical or operational issues 
  • Force majeure events (natural disasters, government orders, etc.)  

In case of company-initiated cancellation: 

  • We will notify you as soon as possible, typically within 24 hours of awareness. 

You will be offered:  

  • Full refund of amount paid, OR
  • Priority rescheduling at your convenience, OR 
  • Extended store credit with no expiry date  

B. Rescheduling Policy 

Advance Notice Required 

  • Rescheduling requests must be submitted at least 48 hours (2 full business days) before the original appointment time. 
  • Requests must be made in writing via email to [insert] [Info@studiobyisim.com]. 
  • Rescheduling is subject to consultant and studio availability. 

Rescheduling Limitations 

  • One complimentary rescheduling is permitted per booking.
  • The rescheduled appointment must be taken within 3 months of the original booking date.  
  • Second and subsequent rescheduling requests may incur a rescheduling fee of 20% of the service cost (minimum ₹500). 
  • Multiple rescheduling attempts may result in forfeiture of booking and loss of payment.

Rescheduling Process 

Email your rescheduling request with:  

  • Original booking confirmation number 
  • Preferred new dates and times (provide at least 3 options) 
  • Reason for rescheduling (optional but appreciated)

Our team will respond within 24-48 hours with available options. 

Once confirmed, you will receive a new confirmation email with updated details. 

The rescheduled appointment is subject to the same terms and conditions.  

Rescheduling Restrictions 

Rescheduling may not be available: 

  • During peak seasons or high-demand periods 
  • For promotional or discounted services 
  • Within 48 hours of the original appointment 
  • After multiple previous rescheduling attempts 

C. No-Shows & Late Cancellations 

Definition of No-Show 

A “no-show” occurs when a client: 

  • Fails to attend a scheduled appointment without any prior notice 
  • Cancels with less than 48 hours notice 
  • Arrives more than 15 minutes late without prior communication 

No-Show Policy 

  • No-shows are strictly non-refundable and non-reschedulable.
  • The entire payment made will be forfeited. 
  • No store credit, rescheduling, or future discount will be provided. 

Repeated no-shows may result in:  

  • Requirement of full payment for future bookings (no partial payment option)  
  • Reservation of right to decline future bookings 
  • Blacklisting from promotional offers or packages 

Late Arrivals 

  • Grace Period: A 5-minute grace period is provided for unexpected delays. 
  • 6-15 Minutes Late: Session will proceed but will end at the originally scheduled time (shortened session). 

More than 15 Minutes Late:  

  • Consultant reserves the right to consider this a no-show
  • Session may be cancelled with no refund 
  • Alternatively, if consultant availability permits, session may proceed with significantly reduced time  

Communication is Key: If you anticipate being late, immediately contact us at [Insert Phone Number]. We will make reasonable efforts to accommodate you, though this cannot be guaranteed. 

Emergency Exceptions

  • Genuine emergencies (medical emergencies, accidents, family emergencies) will be considered on a case-by-case basis.  
  • Documentation may be required (medical certificate, police report, etc.). 
  • Emergency exceptions are granted at the sole discretion of Studio by ISIM management. 
  • Contact us immediately at [Insert Emergency Contact Number] if an emergency prevents attendance. 

D. Group Sessions & Workshops 

Special Terms 

Group sessions, masterclasses, and workshops may have different cancellation and refund policies due to: 

  • Limited seating capacity
  • Special preparation and material costs 
  • Contracted venue or external instructor arrangements  

Workshop-Specific Policy 

  • Cancellation Deadline: Typically 7-14 days before the workshop date (specified at booking). 

Refund Options:  

  • Cancel before deadline: 50% refund or full credit toward future workshop 
  • Cancel after deadline: No refund, may transfer ticket to another person (subject to approval) 

No-Shows: Full forfeiture of payment, no transfers permitted. 

Detailed workshop terms will be provided at the time of booking and must be separately acknowledged. 

E. Package & Membership Cancellations 

Service Packages 

  • Multi-session packages or bundled services have specific cancellation terms provided at purchase.
  • Typically, packages cannot be cancelled after the first session has been completed. 
  • Unused sessions may be eligible for partial credit based on the individual service value minus a 20% administrative fee.  

Memberships 

  • Monthly or annual memberships have separate cancellation terms outlined in the membership agreement.
  • Membership cancellations typically require 30 days’ written notice. 
  • No refunds for partial months or unused membership periods.
